Privacy policy

Troca HQ is software for home-service companies, such as lawn care, pool and pest control companies. It turns crew tickets and receipts into unsent QuickBooks invoices, plans crew routes, and texts each crew its route for the day. Troca HQ is operated by Devin Jones ("we"). What we collect
- Account details: the email address and a hashed password for each login. We never store a password in readable form.
- QuickBooks data: when a company connects QuickBooks Online, we read its customer list (names, addresses and email addresses), its products and services, and its past invoices. We use them to match work to customers and to fill in prices. We create invoices in QuickBooks only when the company asks, and we never send an invoice to a customer.
- Uploaded files: photos and scans of crew tickets, receipts and Word documents, and the lines read from them.
- Crew and route details: team names, crew lead names and phone numbers, the weekly schedule, and the route texts we send.
- Sign-in records: failed sign-in attempts, which we use to stop password guessing.
How we use it
We use this data only to provide Troca HQ to the company that owns it. We do not sell it, rent it, or use it for advertising.
Who processes it for us
- Vercel hosts the app.
- Neon hosts the database.
- Anthropic reads uploaded images and documents to find the work on them. Under Anthropic's API terms, Anthropic does not use this data to train its models.
- Intuit (QuickBooks Online) holds the company's accounting data and receives the invoices the company creates.
- Twilio sends route texts to crew leads.
- The US Census Bureau geocoder turns addresses into map locations, and OpenStreetMap supplies the map images.
How we protect it
- All traffic to Troca HQ uses HTTPS.
- QuickBooks sign-in tokens are encrypted when stored (AES-256-GCM).
- Each company sees only its own data. Repeated failed sign-ins lock the login for 15 minutes.
How long we keep it
- We keep a company's data while the company uses Troca HQ.
- When a company disconnects QuickBooks, we revoke our access at Intuit and delete the stored sign-in tokens. Invoices already created stay in the company's QuickBooks.
- To delete all of a company's data, email devinmjones@gmail.com. We delete it within 30 days.
Crew text messages
Crew leads get route texts only after they agree to receive them. They can reply STOP at any time to stop the texts, or HELP for help. We never share phone numbers for marketing.
Changes
If we change this policy, we post the new version on this page with a new effective date.
